This policy applies exclusively to wholesale orders placed with POEM and outlines the conditions for order changes, delivery inspection, exchanges, and product claims.
A wholesale order is considered confirmed once POEM has received 100% of the total order value. Production will commence only after the payment has been successfully verified.
Confirmed wholesale orders cannot be cancelled. Requests to change a product, size, color, or quantity must be submitted within 24 hours of payment and will be reviewed according to the production status of the order.
Wholesalers are responsible for inspecting the shipment immediately upon delivery. The quantity, product style, size, color, and SKU of all received items must be checked against the confirmed order.
Any missing item, incorrect product, incorrect quantity, or visible defect must be reported to POEM within 24 hours of successful delivery. Claims submitted after this period may not be eligible for review.
A claim may be reviewed if the delivered order contains an incorrect product or SKU, an incorrect quantity, or a verified manufacturing defect originating from POEM’s production process.
Returns or exchanges are not accepted when the correct products, sizes, colors, and measurements have been delivered according to the confirmed order. POEM is not responsible for incorrect size selections made by the wholesaler or their customers.
Customized or specially modified products cannot be returned or exchanged unless POEM confirms that the item contains a manufacturing defect or does not correspond with the approved customization details.
Products are considered defective only when the issue originates from POEM’s production process. Damage occurring during international transportation or local delivery will be reviewed separately and resolved on a case-by-case basis with the wholesaler and shipping provider.
Products must not be returned without prior written approval from POEM. Approved return items must remain unused, unworn, unwashed, and in their original condition with all labels and packaging intact.
If POEM verifies that an item contains a manufacturing defect and requests that it be returned to Vietnam, POEM will cover the approved return shipping cost. Shipping costs for non-defective or unauthorized returns will be borne by the wholesaler.
Following inspection and approval, POEM may replace the affected item, repair the item, or provide another mutually agreed resolution. The appropriate solution will depend on the nature and extent of the confirmed issue.
All return, exchange, and product claims are subject to verification and written approval by POEM. POEM reserves the right to decline requests that do not meet the conditions stated in this policy.
